Title:   Transport Coordinator
Reports to: Chief Finance and Resources Officer
Accountable to: Chief Finance and Resources Officer
Location: Fernleigh Activity Centre (with regular travel across services)
Hours:                   37.5 hours per week

Job Purpose

To coordinate, in the most efficient and effective way, all externally-commissioned customer transport services and to ensure the that the internal vehicle fleet and drivers are managed in compliance with the conditions of Surrey Choices’ operating license.

Key Responsibilities

  • Coordinate all transport requirements between Surrey Choices’ services and the Transport Coordination Centre and/or transport providers in the most efficient and effective way.
  • To ensure all customer transport is provided in accordance with Surrey Choices transport polices and procedures.
  • To ensure the internal vehicle fleet and drivers are managed in compliance with the conditions of Surrey Choices’ operating license and its policies and procedures.
  • To coordinate and assist in transport tenders where required and seek quotes from externally commissioned transport providers on an ad hoc basis.
  • Maintain accurate records of all customers, their journeys, their transport requirements and arrange collection of any other transport related information required by Surrey Choices.
  • Support Surrey Choices’ services with transport route planning.
  • Provide advice and guidance on transport-related risk assessments.
  • Support services to maintain legal, safe and high vehicles standards, in line with the vehicle operating policy and procedures.
  • Manage all operating, vehicle and driver licensing requirements.
  • Coordinate all vehicle maintenance requirements between Surrey Choices’ services and maintenance providers.
  • To manage the selection of all Surrey Choices employee drivers and ensure that all licencing and any required additional training is in place prior to commencement of driving duties.
  • To manage the individual customer transport suitability review process, ensuring only those customers fitting the agreed criteria are provided with transport.
  • Provide point of contact for liaison with third parties e.g. SCC insurance team, DVLA and Police.

  • Educated to GCSE level, with grade C in Maths and English or equivalent experience

  • Strong IT skills, in particular experience of Microsoft Excel and/or Google Sheets and email systems
  • Good written and verbal communication skills

  • Experience of working with people with disabilities
  • Experience managing complex transport solutions
